Tips for a Successful Virtual Conference Experience

Here are some tips and information for a successful virtual conference experience!  Be sure to allow yourself time, and a quiet place to attend and engage, just like you'd do at an in-person conference.

Things you should do now (before the event)
  • Use your log-in credentials to access the virtual conference platform. (Sent to you in an email from "No-reply@pheedloop.com.")  This is the same login that you will use during the live, virtual event to access the live sessions, and later for the session recordings.
  • Please note that the virtual conference platform works best with Chrome browser.
  • Create your profile.  Add a photo and some information about yourself. (Click on your photo or initials in the upper right, then on "settings" to access this area.) To fully engage with others during the event, leave all visibility and notifications as currently set.
  • Build your own personal schedule.  You can click on sessions of interest to view the session descriptions and speaker information. Click on "Sessions" in the left menu to view the session roster. To add a session to your schedule, click on the plus sign next to the session title. You can also click on the Schedule tab and see all the sessions at a given time or by track.  Clicking on any one of those it will take you directly to the session.
  • Review the available accessibility settings by clicking on the person icon in the blue bubble in the bottom right corner.  You can make selections specific to your own needs and preferences.

Session Access

  • All sessions will be presented live on the scheduled date of the event and recorded for extended access.
  • A link to the event evaluation will be available in the lobby announcement area.  Be sure to share your feedback regarding sessions, speakers and the overall event.

Session Navigation

  • Click on the "Sessions" tab in the left menu to view the roster of sessions, listed in chronologic order.  Tip: for faster access to a particular session, type a keyword from the session title in the search field.
  • You may filter sessions by your personal schedule, track or speaker.
  • A pre-roll message will be displayed until the scheduled session time.  At the appointed time, live sessions will allow you to join the Zoom meeting.
  • Direction regarding the handling of Q&A will be announced at the beginning of the session or posted in the session chat area.  Some presenters will be answering questions throughout the session, while others will ask to hold questions at the end.
  • Chat Areas
    • Questions for speakers can be entered in the Zoom chat by clicking on the chat icon under the session broadcast.
    • Comments to other attendees or about the session in general can be entered in the Pheedloop session chat located to the right of the session window.
  • For a larger screen viewing area, click on the left facing arrow at the the top of the session listings to collapse the session list.
  • For an even larger viewing area, collapse the chat section by clicking on the right-facing arrow at the top of the chat panel to collapse the chat window.
  • Sound controls are also adjustable and located in the gray tool bar.

Continuing Education (CE) Credit
For those who wish to obtain CE credit for attending sessions.

  • Session attendance for CE credit is obtained via response to a pop-up window that appears during the session.  Be sure to allow pop-ups* for pheedloop.com in your browser. 
  • When the "check-in" window appears, answer the single question to acknowledge your presence for CE tracking.
  • If you are using the Zoom direct link, you will NOT see the check-in survey and will need to access it from the recorded session when available.
  • When you are ready to obtain your individual CE certificate, you may download it from your profile accessible from the top right of the event screen. (Click Settings, then scroll to Attendee Certificate, then Download Certificate.
  • CE certificates are not available for those participating in group viewing. An individual log-in to the virtual conference platform is required.

* To allow pop-ups in Chrome:

  • Got to the browser menu (3 vertical dots in upper right of browser)
  • Click "Settings"
  • Go to "Site Settings" located near the bottom of the list.
  • Scroll to and select "Pop-ups and redirects"
  • Add pheedloop.com under customized behavior

Optimal Set-up/Trouble-Shooting

Unlike a traditional venue for a live event, virtual events have made laptops, tablets, smartphones the venue! The best setup we've found is using Google Chrome on a laptop or desktop machine.

  • Supported Browsers. Any major, modern browser with a high-speed internet connection is all that's really needed to run PheedLoop itself. An internet connection offering at least 5 Mbps download speed will work best. You can test your internet speed here.   Mozilla Firefox, Apple Safari, and even Microsoft Edge are also supported, however, Google Chrome has been found to work best, so if you are experiencing issues, try switching browsers.
  • Supported Devices. The virtual event system is best experienced on a laptop or desktop device, however it is compatible with tablets and smartphones for a limited, view-only experience.
  • If you have connectivity issues, disable your video to free up some bandwidth. If problems persist, click on the "Experiencing Issues" link located below the presentation window.  This will take you out of Pheedloop and directly into the Zoom meeting.  Please note that if you are accessing the presentation in this way, you will not see the popup window to obtain CE credit, howver their are "work arounds" to address this. (see the CE section above.)
